Setting up HubSpot to manage and track your partners effectively is essential for streamlining collaboration and maximizing referral performance. By following this guide, you’ll learn how to use HubSpot’s native features to organize partner data, associate them with deals, and ensure seamless integration with Euler.

For a quick overview, start with the video tutorial below. The detailed written instructions will follow for further clarification.

Get started by watching this video walkthrough, which demonstrates the easiest and most effective way to set up HubSpot for working with partners:

Step-by-Step Instructions

If you prefer a written guide or need additional clarification, follow these steps to set up HubSpot for partners effectively.

Step 1: Use the Standard Companies Object

HubSpot’s Companies object is ideal for managing partner records. There’s no need to create custom objects, as they can overcomplicate integration with Euler and other technologies.

  1. Navigate to the Companies object in HubSpot.

  2. Select a company record (e.g., Mom’s Cookies in the example).

  3. Look for the native field called Type in the company details.

    • This field comes pre-configured in HubSpot and includes a value for Partner in the dropdown picklist.

Recommendation:

Use the Type field to classify a company as a partner. This approach is simple and requires no customizations. However, if you prefer, you can create a custom field to identify partners, but ensure it is consistently used across partner records to enable integration with Euler.

Step 2: Add Subtypes (Optional)

You can further categorize partners using subtypes. For instance, you can define:

Channel Partner

Value-Added Reseller (VAR)

Technology Partner

These subtypes can be added as additional fields or labels in HubSpot to provide more granularity.

Step 3: Associating Partners with Deals

To track the referrals sent by your partners, you’ll need to associate partner companies with deals.

Associating a Partner to a Deal:

  1. Open a deal record (e.g., Multi-Chip in the example).

  2. Scroll to the Associated Companies section.

  3. Ensure the buyer company is listed as the Primary Company (this is always the company purchasing in the deal).

  4. Add your partner company as a Non-Primary Company (secondary company):

    • Click Add Company and select the partner’s company record (e.g., Mom’s Cookies).

    • Avoid replacing the primary company.

Adding Association Labels:

When adding a partner company:

  1. Use the Association Label feature to specify their role in the deal, such as Referring Partner.

  2. The label will appear as a tag under the partner’s name in the associated companies section.

Integration with Euler

By following the setup outlined above, Euler can easily pull partner and deal data from your HubSpot account, ensuring:

  • Quick and accurate integrations

  • Lightning-fast data synchronization

Tips for Success

  • Keep it simple: Stick to the standard HubSpot features wherever possible.

  • Consistency matters: Use the same fields and labels for partner data across all records.

  • Verify associations: Double-check that partners are listed as secondary companies, with appropriate labels, in all relevant deals.
