Steps to Enable Affiliate Link Categories

Affiliate Link Categories are standard, default affiliate links that can now be managed centrally in one place. This powerful feature allows you to organize multiple tracking links into categories with custom names, streamlining the management and distribution of affiliate links across your partner network. This guide will walk you through how to set up and use Affiliate Link Categories effectively.

1. Understanding Affiliate Link Categories

Affiliate Link Categories enable you to create and manage standardized tracking links that can be applied across your entire partner network. Each category can be:

  • Active or Inactive: Control which categories are currently being used

  • Tagged: Link partner tags to specific categories for better organization

  • Named: Give each category a descriptive name that reflects its purpose

When you create an Affiliate Link Category, the system automatically generates corresponding affiliate links for all relevant partners, eliminating the need for manual link creation.

Suggested Categories:

The system provides four pre-configured category suggestions to help you get started:

  • Primary: Main affiliate tracking link

  • Newsletter: For email campaigns

  • Event: Event-specific tracking

  • Social Media: Social platform sharing

You can use these suggested categories as a starting point or create completely custom ones based on your specific needs.

2. Automatic Affiliate Link Creation During Partner Setup

When setting up a partner in your account, the system automatically displays which default affiliate links will be created for them. This preview helps you understand exactly what tracking links the partner will receive based on your current affiliate link categories and the tags you assign.

How Links are Determined:

The affiliate links created for a partner are based on two factors:

  1. Active affiliate link categories without tags: These categories are automatically created for all new partners, regardless of their tags

  2. Active affiliate link categories with tags: These categories are only created if the partner is assigned matching tags

Tag-Based Link Assignment:

Tags play a crucial role in determining which affiliate links a partner receives:

  • No tags assigned: The partner will only receive affiliate links from untagged categories

  • Tags assigned: The partner will receive affiliate links from all untagged categories PLUS any categories that match their assigned tags

Example:

If you have the following active categories:

  • Primary (no tag)

  • Newsletter (no tag)

  • Seller (with "seller" tag)

  • VIP (with "vip" tag)

And you assign the "seller" tag to a partner, they will receive three affiliate links:

  • Primary (untagged - created for all)

  • Newsletter (untagged - created for all)

  • Seller (matches their "seller" tag)

Link Creation Preview:

Before finalizing the partner setup, the system displays a preview showing exactly which affiliate link categories will be generated. This notification appears as: "The following default affiliate links will be create for this partner" followed by badges for each category (e.g., "Primary", "Newsletter").

This preview ensures you can verify the correct links will be created before completing the partner invitation.

Dynamic Link Creation for Tag Updates:

Whenever an existing partner is linked to a new tag, the system automatically checks for affiliate link categories with matching tags. If there are any active categories that match the newly assigned tag, the corresponding affiliate links will be:

  • Automatically created for that partner

  • Added to their account immediately

  • Notified to the partner via email with the new link details and descriptions

This ensures partners always have access to the most current and relevant affiliate links based on their assigned tags, without requiring manual intervention.

3. Partner Acceptance and Link Distribution

Once a partner is invited, they will receive an additional email notification containing:

  • All their assigned affiliate links with descriptions

When the partner accepts the invitation or is approved:

  • The partner can immediately start using the tracking links

  • Links are organized by category for easy identification and use

4. Creating a New Affiliate Link Category

To create a new category, you'll need to fill out the following fields:

Required Fields:

  • Category Name: A descriptive name for your affiliate link category (e.g., "Primary", "Newsletter", "Event")

  • Website: The destination URL where partners will direct their traffic (e.g., https://www.website.com/)

Optional Fields:

  • Category Description: Additional context about the category's purpose or usage instructions. This description will be included in the email sent to partners

  • Associate Partner Tags: Select specific partner tags to restrict this category to only partners with matching tags. Leave empty to make the category available to all partners

Toggles:

  • Create affiliate link for existing partners: Turn this toggle ON to generate links for partners already in your network

  • Active: Turn this toggle ON to make the category active and available for use. Inactive categories will not generate new links

5. Managing Existing Partners

When creating a new Affiliate Link Category, the system will automatically generate links for all future partners. To create links for existing partners, you must turn on the "Create affiliate link for existing partners" toggle.

For Categories WITHOUT Tags:

When the toggle is turned on, you can choose to create links for existing partners in two ways:

  1. All Existing Partners: Generate the affiliate link for every partner currently in your network

  2. Partners Without This Link: Only generate the link for partners who don't already have it

For Categories WITH Tags:

When the toggle is turned on, the system will automatically create links only for existing partners that have the matching tag. The affiliate link will be generated for all current partners whose tags match the category's tag.

6. Important: Website URL Matching

If you create an Affiliate Link Category with a website URL that exactly matches one or multiple existing partners' affiliate links, the system will automatically rename those existing affiliate link labels to match the new category name. This ensures consistency across your entire partner network.

The system will display an Attention message (shown in red) indicating how many partners will be affected by this change. For example: "There are 45 partners with this affiliate link's website. Their affiliate link's label will automatically be updated to this category's name."

This automatic renaming helps maintain consistency and ensures that all partners using the same destination URL have uniformly labeled links.

7. Activating Your Category

Once you've configured all settings, ensure the Active toggle is turned ON. Only active categories will:

  • Generate affiliate links for new partners

  • Appear in partner emails

  • Be available for tracking and reporting

  • Display in the partner invitation preview

Click Create to finalize your new Affiliate Link Category.

Note: Regardless of whether you create links for existing partners, all future partners invited or accepted after the category is created will automatically receive the appropriate affiliate links based on their tags and the category's active status.
